BOT Election 2021/AGM Announcement 

By this time, you should have already received your AGM 2020-2021 packet. The packet contains the following:

  1. AGM invitation letter (*there was an error in the letter – the PTA AGM will be on May 18 and the BOT AGM is on May 11).
  2. Agenda
  3. Bylaw Changes Proposal
  4. Voting Procedures

You may have noticed that the AGM packet is not as voluminous as in past years. This is because the board decided to print out only certain parts of the packet in the interest of being more ecologically/environmentally responsible. To give you an idea of how much paper is printed out for the AGM in an ordinary year, here are the numbers:

Cover Letter – 1,120

Previous Year AGM Minutes – 4,480
Copy of the bylaws – 4,480
Bylaws’ Proposal – 1,120
Voting Procedures – 1,120
Ballots – 2,240 (2/packet, 1 page each)

Now:

Voting Procedures – 1,120
Ballots – 1,120 (2/packet, 1/2 page each)
TOTAL – 4,480

However, the complete packet, including the candidates’ CVs/videos, is accessible at the Parent Portal in the Board of Trustees’ section, under the heading: BOT Election 2021.

In view of the current COVID situation, we may have to conduct the AGM in a webinar format. The voting for the bylaw changes proposal will also be conducted electronically at the AGM. All interested AGM participants will have to register with this link: https://us02web.zoom.us/webinar/register/WN_1YELsNb3T3qR3FIsFVBVlw. Once registered, a link will be provided to you for access to the online voting. This link is exclusive to one person only and cannot be shared. This will ensure the integrity of the voting system. Rest assured that each individual vote may only be accessed by the IT Director (who will set up the system and is bound confidentially to not reveal voters’ names) and not by anyone else, including the BOT. What will be shown are the actual voting numbers only. Please remember that according to the ISA Bylaws, only those who actually attend (either in person – if we’re allowed to at that point in time or electronically), the AGM will be allowed to vote.

Regarding the actual in-person BOT election, the voting procedures are included in the AGM packet, please review them very carefully. Please remember that ballots will only be accepted on the actual day of voting – May 11, 2021. Ballots delivered before this date will be invalidated.

In the event that we are not allowed to vote in-person for the election, there may be a few changes in the procedures. You still have to fill in your ballots, seal them and affix your signature on the sealed part. On May 11, 2021, ballot boxes will be set up in front of the Chevron Theater and the Emporium Tower (for downtown voters) to drop in your ballots. Anyone can turn in your ballot/s, provided they sign for you on the official school list. KPMG, as in the last 10 years, will manage the collection and counting of ballots.

The BOT would like to encourage everyone to vote in the BOT election 2021 and to attend the AGM on May 11, 2021.
